We are looking for an office manager to lead our daily operations and support a fast-paced, growing team.

It has become a leading player in the online music production industry, boasting a massive community of over 5,000 producers who publish more than 500 new songs for sale each month. Offering a wide range of services including ghost production, music production, mixing, mastering, original vocals, and more, Edmwarriors is the go-to destination for DJs and artists seeking music to release.

What will be your responsibilities? 📝

This is a junior-level position, and we don't expect you to master everything from day one. You'll be guided step by step, starting with the basics and gradually taking on more responsibility as you grow into the role. We're looking for someone eager to learn, take ownership, and evolve with us. This role has real potential for growth and progression within the company.

  • Office Operations: Ensure our workspace runs smoothly on all fronts.
    • Maintenance: Coordinate regular maintenance, organization and resolve any facility issues.
    • Purchases: Manage procurement of supplies and oversee office inventory.
    • Calls: Handle incoming phone calls and ensure smooth communication.
  • Accounting: Collaborate closely with our external accountant team to keep financial operations in order.
    • Salaries: Prepare and organize documentation related to salary payments including paid leaves, bonuses, and overtime.
    • VAT: Manage documentation for VAT compliance, sales activity, and everyday operations including invoices and statements.
  • HR: Oversee and continuously improve HR operations with the support of department leads.
    • Hiring: Assist in recruitment, onboarding, and maintaining hiring records.
    • Team Building: Help foster a strong and inclusive team culture through events and initiatives.
    • Employee & Office Support: Be the go-to person for employee needs and office-related requests.
  • Web Operations: Support the core online functions that keep our platform running smoothly:
    • KYC: Review and manage Know Your Customer (KYC) documentation to ensure compliance.
    • Payments: Process outgoing payments to sellers on our marketplace.
    • Chargebacks: Handle chargeback cases, including communication, documentation, and resolution.

Tasks on a typical day 🎨

  • Prepare monthly documentation for salary calculations and bonuses.
  • Communicate with the accounting firm to submit financial data and VAT-related paperwork.
  • Post job listings, assist with interviews, and organize onboarding.
  • Check in with team members and help resolve employee concerns.
  • Organize team lunches, office events, and birthday celebrations.
  • Ensure the office is stocked, clean, and functioning efficiently.
  • Take and redirect calls to relevant departments.
  • Record and file invoices and assist with payment tracking.
